The Palestinian American Medical Association (PAMA) is a U.S.–registered 501(c)(3) nonprofit organization established in 2013 by dedicated Palestinian American healthcare professionals in the United States. Our Washington, D.C. headquarters leads strategic fundraising, donor relations, and advocacy, while our country office in Palestine manages on-the-ground program implementation.

Position Summary
The Development & Events Assistant provides day-to-day administrative, logistical, and tracking support to PAMA’s Development team. This role helps keep donor outreach, events, and campaigns organized and moving, with a strong emphasis on scheduling, documentation, CRM data entry, and follow-up.
The position works closely with the Director of Development, the Events team, and the Communications team, but does not lead strategy or own campaigns. It is ideal for someone who is highly organized, detail oriented, comfortable with systems, and motivated by keeping others on track.
Key Responsibilities
- Development Administration & Scheduling
- Provide administrative support to the Director of Development, including:
- Calendar management, scheduling calls and meetings
- Preparing agendas and meeting materials
- Taking notes and capturing action items
- Following up on assigned tasks and deadlines
- Maintain organized digital filing systems, Google Drive folders, and shared documents for the Development department.
- Support preparation of donor lists, briefing notes, and basic internal reports using existing templates.
- Donor & Lead Follow-Up Support
- Log new leads in the CRM (e.g., Salesforce) and help keep donor and contact records accurate and up to date.
- Send follow-up emails using approved templates after events, meetings, and introductions, as directed by the Director of Development or Donor Relations team.
- Track action items and next steps related to donor meetings, calls, and pledges, and send reminders to relevant staff.
- Support preparation and sending of acknowledgments and thank-you messages using pre-approved content.
- Event Logistics & Support
- Assist the Events team with logistics for fundraising dinners, webinars, mosque activations, and other community events, including:
- Collecting and organizing guest lists and RSVPs
- Coordinating basic venue and vendor information
- Preparing and updating event checklists and timelines
- Supporting creation of name tags, sign-in sheets, and materials
- Support post-event follow-up:
- Consolidate attendance data and donation information provided by Events and Finance
- Update CRM records and tracking sheets
- Support sending post-event follow-up emails using templates
- Coordinate simple travel and accommodation logistics for key staff or speakers when requested.
- CRM, Tracking & Documentation
- Enter and update records in PAMA’s CRM and shared trackers, including:
- Donor contact details
- Event attendance and engagement notes
- Basic campaign data and follow-up status
- Maintain shared calendars for Development and Events (key deadlines, event dates, major campaigns).
- Prepare simple summary tables or lists (e.g., donors by state, invite lists, follow-up lists) using existing reports and tools.
- Coordination Support (Non-strategic)
- Help circulate information, timelines, and reminders between Development, Events, and Communications teams as directed.
- Share finalized content, links, and lists from Development and Events with Communications for posting or email scheduling.
- Schedule internal coordination calls, send calendar invites, and share notes afterward.
- Ensure that shared assets and documents for campaigns or events are filed in the correct locations and accessible to relevant staff.
- Other Duties
- Assist with basic vendor communication (e.g., requesting information, confirming receipt of materials) as requested by the Director of Development or Events team.
- Support budget tracking for events by updating simple spreadsheets with expenses provided by Finance or Events.
- Perform other administrative tasks as assigned to support Development, Events, and donor-facing work.
- Other duties as assigned by management
Qualifications
- 1–2 years of experience in an administrative, coordination, or events support role, preferably in a nonprofit or similar environment.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Clear written and verbal communication skills.
- Comfort working with digital tools including:
- Google Workspace (Docs, Sheets, Slides, Drive)
- CRM platforms (Salesforce experience is a plus, but not required)
- High attention to detail and accuracy in data entry and documentation.
- Ability to work independently in a remote setting while taking direction and following established processes.
- Passion for humanitarian work and alignment with PAMA’s mission to support healthcare in Palestine.

Compensation and Benefits
- Pay Range: $18.27 per hour – $24.04 per hour
