Position Overview

 

The Outreach & Administrative Coordinator plays a vital supporting role in PAMA’s Development operations – contributing to event execution, donor engagement, campaign coordination, and cross-functional communication.

 

The role provides important support to the Director of Development (DoD), helping ensure clear follow-through on leads, supporting smooth outreach visits, and alignment. This role supports campaigns and events with logistics, tracking, and documentation as directed by the Director of Development and relevant managers.

 

This is a dynamic role for someone who is organized, proactive, detail-oriented, and energized by helping a growing humanitarian organization scale its fundraising and outreach efforts.

 

 

 

 

Key Responsibilities

 

  • Support the DoD and Development team with follow-up on donor, event, media, partnership, and PR leads as needed.
  • Support outreach and follow-up communications – turning leads into actionable items.
  • Track outreach pipelines, responses, and next steps in CRM systems.
  • Assist with donor stewardship efforts, including acknowledgments and sponsorship follow-up.
  • Provide administrative, logistical and outreach support to the events team as needed.
  • Support travel and on-site coordination for events and outreach visits as needed.
  • Contribute and support outreach efforts for new audiences and markets.
  • Ensure deadlines, deliverables, and responsibilities are clearly tracked and met.
  • Maintain campaign calendars, shared trackers, action plans, and internal coordination documents.
  • Provide key administrative support to the Development Department and DoD, including scheduling, meeting prep, documentation, and follow-up notes.
  • Maintain organized filing systems, drive folders, and shared documents.
  • Assist in preparing briefing materials, donor summaries, lists, and internal reports.
  • Support procurement and vendor communication by obtaining quotes, preparing basic documentation, and updating tracking sheets as directed by the Events team.
  • Provide administrative and tracking support for Development campaigns, and assist Communications with logistics and data entry where needed.
  • Track progress and provide timely updates to the DoD and relevant teams.
  • Assist in compiling data, metrics, and campaign summaries for leadership review.
  • Ensure timely completion and follow-through on assigned tasks.

 

 

 

Qualifications

 

  • Bachelor’s degree in nonprofit management, business, communications, or related field is a plus.
  • 1-3 years of experience in nonprofit coordination, outreach support, events, or administrative roles.
  • Strong communication skills – written, verbal, and interpersonal.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Proficiency in Google Workspace; CRM experience preferred (Salesforce ideal).
  • Ability to travel semi-frequently for events, conferences, or outreach visits.
  • Passion for humanitarian impact and alignment with PAMA’s mission.

Compensation and Benefits

  • Pay Range: $19 per hour – $25 per hour
